Overview
General Dynamics, GDLS-C, DLS, Marshall, and other project partners needed a secure Microsoft SharePoint environment where multiple vendors and stakeholders could upload, manage, review, and collaborate on sensitive project documents. The goal was to create a centralized workspace with controlled access, structured document management, version history, sensitivity-based handling, and strong protection of business, technical, and project information.
Challenge
The project involved multiple organizations working on sensitive documentation while requiring secure access, controlled sharing, proper classification, and audit readiness. Each team needed the ability to collaborate without exposing confidential files, creating version confusion, or allowing uncontrolled distribution. The environment also had to support security labels, TLP handling, Sensitive Information Types, watermarking, visual markings, and governance controls.
Solution
Our consultants designed and configured a secure Microsoft 365 collaboration framework using SharePoint Online, Microsoft Entra ID, and Microsoft Purview Information Protection. Key initiatives included:
- Centralized SharePoint Environment Created a dedicated project workspace for GDLS-C, General Dynamics, DLS, Marshall, and approved partners to securely upload, share, and manage documents.
- Role-Based Access Control: Configured Microsoft Entra ID groups and SharePoint permissions so users could only access files based on their role, authorization, and project responsibility.
- Data Governance Controls: Structured document libraries with metadata, ownership, version history, lifecycle considerations, and controlled sharing rules for stronger accountability.
- Sensitivity Labelling: Applied Microsoft Purview labels with visual markings, watermarking, and handling rules to protect documents based on sensitivity level.
- SIT & TLP Handling: Used Sensitive Information Types and Traffic Light Protocol guidance to classify sensitive content and control how information was shared.
- Compliance Readiness: Enabled audit-supporting controls through access visibility, version tracking, governance policies, labelling, and secure collaboration practices.
Results
The secure SharePoint collaboration environment delivered measurable improvements:
- Secure Vendor Collaboration: Provided one controlled workspace for GDLS-C, General Dynamics, DLS, Marshall, and partner teams to manage project files.
